Marble Wellness is a multi-specialty mental health practice located in Ballwin, MO. We have an established business but are also undergoing major growth. Our team of incredible therapists and leaders is looking for a dynamic administrative assistant to join our team and help us continue to grow strategically and sustainably!

About the Role

We are seeking a Part-Time Administrative Assistant to work 20-25 hours per week. This is a hybrid position. This role will quickly grow into a FT role, at 32-40 hours per week, with benefits.

Responsibilities:

  • Act as primary point of contact for new client inquiries, via phone and email; Complete phone screens and schedule new and existing therapy clients
  • Enter data into Electronic Health Record accurately and thoroughly
  • Contribute significantly to marketing tasks and workflow, including social media content creation; email newsletter; short-form video content; and other graphic design content as it relates to growth of the practice and our services
  • Marketing tasks, such as email newsletter and print materials, as needed and assigned
  • Assist with basic website edits on as-needed basis
  • Order supplies for office, as needed
  • Coordinate and participate in networking opportunities in the community
  • Participate in team & supervision meetings, as scheduled
  • Compliance with all HIPAA rules & regulations as it applies to the practice
  • Manage special projects, as they arise

Qualifications:

  • Proven experience as an Administrative Assistant or in a similar role OR background in crisis/hotline work setting
  • Strong organizational skills with the ability to prioritize tasks effectively
  • Proven track record of taking initiative that advances the role and the organization
  • Excellent attention to detail and accuracy in all work performed
  • Proficient in Microsoft Office Suite (Word, Excel, PowerPoint) and Google Suite applications
  • Experience with Canva, creating digital media assets
  • Social Media savvy, with the ability to learn and develop additional platforms as needed
  • Exceptional verbal and written communication skills
  • Ability to handle confidential information with discretion
  • Strong interpersonal skills with the ability to work well in a team environment
  • Excellent phone etiquette and professional demeanor
