Document Control Coordinator I Orange, TX
Duration: 6-month contract (extension possible)
Pay Rate Range: $23.00/hr
Work Schedule: Hours can range from 6:00 AM to 6:00 PM. Currently working 5/10s, Monday – Friday, 6:30 AM – 5:00 PM. Weekends are a possibility. (Subject to change)
Responsibilities: - Assist with pre-loading contractor and vendor document deliverable information into Aconex EDMS to align with the relevant Master Document Register.
- Ensure that documents received from contractors and other entities meet project requirements.
- Upload documentation submitted by contractor and attach to the corresponding pre-loaded EDMS record or new EDMS record created in Aconex EDMS.
- Populate required metadata fields for each document uploaded into Aconex EDMS.
- Generate and issue document transmittals using Aconex EDMS.
- Provide support to project management team personnel located at domestic and international contractor offices.
- Periodically perform audits to confirm issued documents are in the correct folder location within Aconex EDMS.
- Apply established workflow processes and procedures; provide feedback regarding their effectiveness.
- Interface with contractors’ document control staff.
- Function as a super user within one or more contractor EDMS.
- Track document review cycles and interface with consolidators where necessary to complete review cycles within the specified time period.
- Remit company comments to contractor and upload to other systems using established processes where required.
- Audit contractor EDMS and related document control and management processes to verify conformity to requirements and identify opportunities for improvement.
- Process assigned project mailbox emails and requests for information or assistance.
- Run Aconex EDMS reports.
- Attend and participate in meetings as necessary.
Job Requirements: - Working knowledge of Aconex EDMS.
- Familiarity with other common industry EDMS software.
- Minimum of 3 years' experience using an EDMS in a fast-paced project environment.
- Awareness of metadata, technical information, equipment tagging, and other relevant attributes of technical and non-technical document control and management.
- Detail-oriented with a positive work ethic.
- Ability to check own work for completeness and accuracy.
- Self-starter, organized, and efficient.
- Good written and oral communication skills in English.
- Other non-English language skills a plus.
- Ability to work independently or in a team environment.
- Skilled at prioritizing and managing work tasks to achieve planned results.
- Prior experience on energy, oil and gas, and/or petrochemical industry projects.
