As we expand our outreach and services we are looking for a motivated and detailoriented Event Coordinator Volunteer to help plan and execute both virtual and inperson events that align with our mission and brand goals.

Position Overview:

As an Event Coordinator Volunteer you will assist in organizing coordinating and executing events that showcase the agencys expertise in the healthcare marketing space. This is a wonderful opportunity to gain handson event planning experience while supporting the agencys growth. Youll collaborate with our marketing and client relations teams to help bring engaging and impactful events to life.

This role is ideal for someone who is highly organized enjoys multitasking and has a strong passion for event planning and logistics. Youll get to contribute to both largescale webinars and smaller client events helping us build and maintain strong relationships with our audience.

Key Responsibilities:

  • Assist in the planning and coordination of virtual and inperson events including webinars workshops and networking events.

  • Work closely with the marketing team to develop event timelines agendas and promotional materials.

  • Help manage event registration guest lists and communications with attendees.

  • Collaborate with vendors partners and internal teams to ensure smooth event execution.

  • Coordinate event logistics such as technology setup (for virtual events) venue arrangements (for inperson events) and materials.

  • Monitor social media and digital channels to promote upcoming events and engage with participants before during and after the event.

  • Help track and evaluate event success gathering feedback and suggesting improvements for future events.

  • Assist in event followup tasks including thankyou emails postevent surveys and social media coverage.

Qualifications:

  • Strong organizational and time management skills with an ability to manage multiple tasks simultaneously.

  • Excellent written and verbal communication skills.

  • Creative and problemsolving mindset.

  • Prior experience with event coordination or project management is a plus but not required.

  • Comfortable with digital event platforms (e.g. Zoom Microsoft Teams) and social media promotion tools.

  • Ability to work independently and collaborate with a remote team.

  • Strong attention to detail and commitment to delivering exceptional experiences.

  • Interest in healthcare marketing or the healthcare industry is a plus.
