Position Summary

The Event Production Manager is a member of the Event and Facility Operations team within the University Center and oversees Production Services to provide event management support. This position directs the daily operations of University Center events, and special events in other select spaces on and off-campus, with audio-visual and event furniture services. The Event Production Manager supervises the Production Services student staff and works with clients to determine event resource needs. This position is the resident authority on the use and operation of University Center audio-visual equipment, including sound, lighting, video, staging, rigging, and computer-based multimedia systems. The Event Production Manager assists with the inventory, maintenance, and basic troubleshooting and repairs for audio-visual equipment and event furniture resources. This position works closely with Campus Reservations staff, Facility Operations staff, contracted artists and other facility users to determine and coordinate the technical and event support for successful facility utilization.



Responsibilities

Leadership and Supervision

  • Provides active leadership for Production Services, supports the student employee program within this area, and maintains a constant focus on teambuilding and ultimately team success.
  • Establishes and sustains positive and collaborative professional relationships with university departments, student organizations, and unaffiliated constituencies; and represents the University Center at major university functions and events.
  • Establishes and executes day-to-day operational functions and goals of events to effectively meet the needs of customers.
  • Exercises supervisory authority, including hiring, training, transferring, suspending, promoting, managing conduct and performance, discharging, assigning, rewarding, disciplining, and/or approving hours worked for Production Services student staff (approximately 20 students).
  • Assist with policy development and training related to equipment safety and security, and risk management.
  • Identifies, proposes, and implements new or revised Production Services operational policies and procedures; and monitors, interprets, and ensures compliance with UW System, and campus policies.
  • Participates in scholarly and professional activity, including professional reading, conference attendance, networking, membership of national organizations within the profession, and serve on campus committees as requested and assigned.

Services and Facility Planning

  • Serve as the on-site technical coordinator for all large events.
  • Provide professional quality lighting services while utilizing digital lighting consoles with installed and portable lighting systems. Operate all facets of lighting including board programming, instrument use and maintenance, safe use of lighting truss, light plots, and gel/color schemes.
  • Serve as equipment operator for all facets of sound production, including but not limited to digital and analog mixing consoles, line array amp/speaker systems, wire/cable management, and digital and analog signal processing equipment. Possess thorough knowledge of backline, media splits, wireless, dynamic, and condenser microphones, monitor systems, and VHF/UHF transmitting devices. Possess ability to quickly problem solve technical issues, and a full understanding of electrical safety.
  • Serve as project manager and oversee assigned audio-visual projects throughout the University Center.
  • Operate, maintain, and troubleshoot University Center event equipment including theatre/event sound and lighting, video, staging, rigging, and computer-based multimedia systems.
  • Work with campus reservations to input the technical and room specifications for events into the campus reservations systems and assist with the build out of diagrams.
  • Assist with the management of audio-visual and event furniture resources, including the coordination of short and long-range equipment improvements, maintenance, and replacements.
  • Assist with policy development and training related to equipment security, safety, and risk management to ensure student staff are trained to perform job duties safely and properly.
  • Maintain inventory, equipment manuals, and technical drawings for warranties, electronic document management, and inventory reduction through supply management.
  • Serve as the administrative liaison for negotiation and planning to meet technical rider aspects of performance contracts.
  • Work with clients to obtain the technical services needed to make events successful.
  • On behalf of the customer, advance any events requiring complex production with the agent/performer/speaker.
  • Maintain CPR/AED certification.

Fiscal and Resource Management

  • Assists the preparation of departmental and contractual purchasing requisitions for audio-visual and other event equipment expenditures, and assures expenditures are prudent, appropriate, and consistent with established goals and the mission of the university.
  • Assures compliance of fiscal operations consistent with state and university policies and procedures.
  • Maintains adequate supplies for routine operation of the University Center. Assists in the development of the Production Services budget and develops plans for short and long-term expenditures.


Knowledge Skills and Abilities

Qualifications Required:

  • Bachelor’s degree from an accredited university
  • Minimum of 1 year post bachelor experience in event management
  • Previous supervisory experience
  • Direct knowledge and experience with event management and audio systems (analog and DSP)
  • Experience with concert lighting (conventional & intelligent), and computer-based multimedia systems
  • Demonstrate ability to creatively problem-solve technical issues
  • Demonstrate ability to work collaboratively with diverse staff and clientele, sensitivity to the needs of students and community users, and excellent oral and written communication

Preferred Qualifications:

  • Audio-visual and event management experience in a college or university environment
  • Rigging experience
  • Familiarity or knowledge of computer systems and software such as (Mazevo, Workday, TEAMs, event management, email, payroll, Microsoft Visio, digital signage systems, audio recording and DSP systems)
  • Experience with Crestron/Extron systems
  • Master’s degree in technical theatre, sound, lighting, student affairs, or related field.
