Job Summary
The General Services Coordinator is responsible for managing daily facility operations to ensure a clean, efficient, and welcoming workplace. This role oversees cleaning and maintenance services, manages office equipment and employee amenities, coordinates vendor support, and maintains supply inventory. Additionally, the Coordinator provides administrative assistance, including visa application support and occasional front desk coverage.
Key Responsibilities
Supervise Cleaning Crews
Monitor and direct janitorial staff to ensure cleanliness standards are consistently met; coordinate cleaning schedules and promptly address facility-related concerns.
Employee Refreshments & Breakroom Support
Oversee daily operation of coffee machines, water systems, vending machines, and other shared appliances; coordinate repairs and ensure all equipment remains in working order.
Supply Ordering & Inventory Management
Manage ordering and inventory of breakroom and restroom supplies (e.g., coffee, tea, cups, plates, toilet paper, soap, seat covers); track stock levels and ensure timely replenishment.
Office Equipment Management
Oversee maintenance and servicing of copiers, printers, scanners, and fax machines; manage first aid kits and ensure supplies are up to date.
Facility Services & Vendor Coordination
Schedule and monitor facility services, including monthly pest control; serve as point of contact for external vendors and service providers.
Visa and Administrative Support
Assist with employee visa applications by preparing documentation and tracking submission status.
Front Desk Coverage
Provide backup reception support, including greeting visitors and handling phone calls.
Product Handling
Safely lift, move, and organize heavy products, equipment, or supply boxes as needed to support facility and office operations.
Qualifications
High school diploma or equivalent; Associate’s or Bachelor’s degree preferred
2+ years of experience in general services, facilities coordination, or office administration
Strong organizational and multitasking abilities
Excellent communication and interpersonal skills
Proficiency in MS Office (Word, Excel, Outlook)
Ability to manage vendors and service providers professionally
Bilingual in English and Chinese preferred
Ability to safely lift and move items
