Operations Project Manager

The Semi-monthly (per pay period) compensation for this position in FY25 is: 

$2,897.57 per pay period

Position Summary: 

The Project Manager position executes and may contribute to the development of strategic plans in accountability. Project Managers are responsible for maintaining external relationships with vendors, partners and the community as needed.  

Under the direction of the Chief Operations Officer (“COO”), the Operations Project Manager provides support and oversight to specific Operations projects.  

Boundaries  

The Operations Project Manager is involved in planning, organizing staff and stakeholders, implementation, and project control. The Operations Project Manager collaborates with other departments as instructed by the COO. The Operations Project Manager is a thought partner to the COO and Operations leadership team.  

Authority  

As a key member of the San Francisco Foundation Operations Team, as directed by the COO, this role is responsible for supporting and moving along Ops related bodies of work related to the Business Model, SFF’s 3-Year Impact Plan, supporting content building and facilitation of  

Operations Team meetings and retreats, and collaboration with the Executive Assistant to the COO and VP of HR and Administration. This role will collaborate with internal and external stakeholders. As a liaison to the COO, this position may be called to support the implementation of priority projects and commitments held by the Operations Team as a group.  

Role   

The Operations Project Manager is responsible for strategy development and planning, project management, operations group facilitation, and effective communication.  

The role is responsible for: 

• Operations Planning-Meeting and retreat support, coordination, and facilitation. 
• Track deliverables of cross functional work, attend meetings when COO cannot and summarize findings. 
• Internal Equity Working Group (“IEWG”) project coordination, note taking and scheduling support. 
• Directors and VP group note taking, agenda setting, scheduling and additional support as needed. 
• AI strategy project management support, research, etc. 

Tasks  

Project Management: 

• Execute the project according to the project plan. 
• Develop and utilize existing tools to document project activities. 
• Set up files to ensure that all project information is appropriately documented and secured. 
• Monitor the progress of the project and adjust as necessary to ensure the successful completion of the project. 
• Establish a communication schedule to update stakeholders including appropriate staff within the Ops Team (or enterprise) on the progress of the project. 
• Prepare progress reports for the COO. 
• Review the quality of the work completed with the project team on a regular basis. 
• Risk Management: Identify potential risks and develop mitigation strategies to ensure project success. 
• Budget Management: Monitor project budgets, track expenses, and ensure projects stay within financial constraints. 
• Stakeholder Engagement: Engage with stakeholders to gather requirements, provide updates, and ensure their needs are met throughout the project lifecycle. 
• Process Improvement: Identify opportunities for process improvements within the Operations team and implement changes to enhance efficiency and effectiveness. 
• Training and Development: Provide training and development opportunities for team members to enhance their skills and knowledge. 

Thought Partnership:  

• Collaborate with the COO and Operations Staff regarding adaptive and technical challenges related to specific work scopes. 
• Assist COO, EA to the COO, and Ops Team in building content and the agenda for Ops meetings and retreats. 
• Partner with the COO and VP of HR and Administration on aspects of internal equity. 
• Contribute, as needed, to the Directors and VP group meetings.

• 4+ years relevant experience 
• Strong active listening, oral, and written communication skills, and the ability to work collaboratively in and across teams.

• Expertise in creating and managing project schedules and timelines. 
• Strong decision-making skills, especially under pressure. 
• Ability to align project goals with organizational strategy. 
• Ability to convey complex information clearly and concisely. 
• Skills in managing relationships with stakeholders, including clients, vendors, and team members. 
• Ability to ensure accuracy and thoroughness in project documentation and execution. 

Technical abilities and skills  

• Intermediate to advanced computer/software skills, including Microsoft 365 (Outlook, Word, PowerPoint, Excel, & Teams and Zoom.  
• Ability to learn, navigate and manage online platforms, Smartsheet, Salesforce, basic level of AI platforms

Compensation : The San Francisco Foundation offers a very competitive total compensation package including base compensation in alignment with our organizational budget size and rich medical and fringe benefits offerings. Remote Work Policy : The Foundation has adopted a long-term hybrid in-person and remote work policy. Dedicated to its employee health and safety, The Foundation will continue to make decisions in accordance with San Francisco County and California mandates. Employees must reside or plan to relocate to California if hired.
