Job Description

The Payroll Manager will be expected to meet one day a month in the Philadelphia office.

Our client is seeking an experienced and detail-oriented Payroll Manager to join their team. The ideal candidate will be a hands-on professional with extensive experience in all aspects of payroll, including taxes, W-2 preparation, reconciliations, payroll audits, and other critical payroll functions. A deep knowledge of ADP Workforce Now is essential to ensure the accurate and efficient processing of payroll. This role will require someone who thrives in a fast-paced environment and possesses strong problem-solving skills.

Key Responsibilities:

  • Payroll Processing: Oversee and manage the end-to-end payroll process for all employees, ensuring timely and accurate processing of payroll through ADP Workforce Now.

  • Tax Compliance: Ensure accurate calculation and timely submission of federal, state, and local payroll taxes, including withholding, filing, and reporting. Monitor compliance with all tax regulations and government filings, such as W-2s, 1099s, and other necessary documents.

  • Reconciliations: Perform payroll reconciliations, reviewing and verifying discrepancies related to deductions, benefits, and other payroll-related transactions. Resolve any issues efficiently.

  • Payroll Audits: Conduct regular audits of payroll data and processes to ensure accuracy and compliance with company policies, labor laws, and regulatory requirements.

  • Reporting: Generate, review, and analyze payroll reports, providing necessary payroll data for management, finance teams, and external auditors.

  • W-2 and Year-End Processing: Manage the preparation and distribution of W-2 forms at year-end, ensuring that all employee earnings and deductions are accurately reported.

  • ADP Workforce Now: Utilize ADP Workforce Now to manage payroll processing, employee data, and reporting. Troubleshoot and resolve system issues to maintain accurate and efficient payroll operations.

  • Employee Inquiries: Serve as the primary point of contact for employee payroll-related inquiries, providing clear and timely communication regarding pay discrepancies, benefits, and tax-related issues.

  • Process Improvement: Identify opportunities to streamline payroll processes, implement best practices, and recommend improvements to enhance accuracy, efficiency, and compliance.

  • Supervision and Team Support: Provide leadership and guidance to the payroll team, ensuring proper training and development to maintain a high level of performance.

Requirements

Qualifications:

  • Experience: A minimum of 5+ years of hands-on payroll management experience, with a strong background in all aspects of payroll processing, tax calculations, W-2 preparation, and audits.

  • ADP Workforce Now Expertise: Extensive experience working with ADP Workforce Now or similar payroll software to manage payroll operations.

  • Tax Knowledge: Strong understanding of federal, state, and local payroll tax regulations, including FICA, FUTA, SUTA, and other compliance requirements.

  • Attention to Detail: Excellent attention to detail with a keen ability to identify and resolve discrepancies in payroll data.

  • Problem-Solving Skills: Strong problem-solving skills and the ability to handle complex payroll issues effectively.

  • Communication Skills: Exceptional written and verbal communication skills, with the ability to interact with employees at all levels and respond to payroll-related inquiries in a professional manner.

  • Education: A Bachelor's degree in Accounting, Finance, or a related field is preferred. Payroll certification (e.g., Certified Payroll Professional – CPP) is a plus.

  • Technical Proficiency: Proficient in MS Office Suite (Excel, Word, Outlook) and familiarity with HRIS or payroll software systems. Knowledge of labor laws and payroll regulations is essential.
